Personal Data Processing Notice for Portal Users

Scope and collection methods
This notice covers portal invitations, account activation and use, and transactions available to your account. Information is received electronically from you or your company's authorized representative, through correspondence and documents, and through records generated when the portal is used. The data involved depend on your role and the transactions you perform.
These records may include your name, business contact details, login email, company relationship and role; access and transaction records; information contained in quotations, orders, invoices and service documents relevant to you; and correspondence, photographs or attachments you submit. Submit only information necessary for the transaction and that you are authorized to share.
Purposes and legal grounds
Name, contact and account information is used to establish and operate your membership. Processing necessary for the membership contract to which you are a party is based on Article 5(2)(c) of Law No. 6698.
Company relationships, roles, permissions, access and transaction records support authorized account use and portal security. The applicable ground is legitimate interests under Article 5(2)(f), subject to necessity and protection of your fundamental rights. Acting for a company does not make you personally a party to its commercial contracts.
Identity and contact information in quotations, orders, invoices and service records is used to carry out and document the relevant transaction. Article 5(2)(c) applies where the transaction is necessary for a contract with you; statutory record-keeping obligations are addressed under Article 5(2)(ç). For company representatives, necessary administration and follow-up of the authorized transaction rely on Article 5(2)(f), with fundamental rights taken into account.
The notice-read acknowledgement, membership acceptance, date, language and document version are recorded to evidence the information presented and your membership declaration when needed, under Article 5(2)(e). Requests and dispute records are processed under Article 5(2)(ç) or 5(2)(e), according to the applicable obligation or right.
Access and service providers
ProControl personnel access records within their assigned duties and permissions. Portal access is limited by assigned company, branch and role relationships. Authorized dealer or service users can access records within their assigned transaction scope; having a portal account does not grant access to all customers or records.
Hosting, backup and technical-operation providers support storage, continuity and security of the system. Account, transaction and document records held in the system can be processed within the service they provide.
Mailmatik is used for email communication. Sender and recipient email addresses, message content and attachments included in the correspondence are processed for sending, receiving and storing those messages. This includes portal invitations and relevant transaction notifications.
Nilvera is used for electronic-document transactions. Identity, contact, invoice and transaction information contained in the relevant electronic document is processed to create and transmit that document and follow its status. This service relates to the relevant electronic-document transaction; it does not receive all website visitors' information merely because they visit the site.
Website measurement and optional notifications
Google Analytics is configured on the website for visit measurement. Depending on use of the measurement service and the applicable cookie preferences, browser, device and visit information may be processed through Google's infrastructure. Google operates internationally.

Acknowledging this notice or accepting membership terms does not constitute consent to Google processing, international transfers, advertising or marketing.
Browser notifications are optional. When the feature is enabled and you grant browser permission, the supported notification provider used by your browser handles the subscription or device identifiers and notification content needed for delivery. You can withdraw browser permission through your browser or device settings.
Retention and account closure
Retention is assessed by record category and purpose, taking into account the account and transaction status, statutory record-keeping requirements, the need to establish or protect rights, and relevant dispute periods. A single fixed retention period does not apply to all portal information.
Closing an account or changing access does not automatically erase linked orders, invoices, service records or acceptance evidence that must still be retained. When a processing purpose and any applicable retention requirement no longer exist, the record is subject to the applicable erasure, destruction or anonymization requirements. Requests are assessed in light of the relevant record and legal conditions; this notice does not promise immediate deletion of every linked record.
Your rights and requests
Under Article 11 of Law No. 6698, you may request information about processing, its purpose and recipients; correction of incomplete or inaccurate data; deletion or destruction where statutory conditions apply; and notice of corrections or deletion to recipients. You may also object to an adverse result based solely on automated analysis and seek compensation for harm caused by unlawful processing.

Include information sufficient to identify you and explain the request, without sending unnecessary personal data. Requests are handled under the applicable legal procedure; other statutory application methods remain available.
Membership, marketing and document versions
Portal membership is not conditional on advertising or marketing permission. The read acknowledgement records that this notice was presented and read; it is not general personal-data-processing consent. Membership and use terms are provided separately in the document linked below. The date, language and version associated with your registration declaration are retained as evidence of the document presented.
